Does the Registrar’s Office complete verification of enrollment forms from employers or other institutions?

  • The Registrar's Office does not fill out paper forms but provides a secure transcript and verification process to ensure accuracy and authenticity of data.
  • You will need to order a Verification of Enrollment. Most institutions requiring proof of enrollment find this an acceptable alternative.

How can I order verifications of enrollment?

If you are a current student or alumnus:

  • Log into the Verifications Tool by entering your user ID (PID) and Personal Access Code (PAC).
  • Choose the items you would like included in the verification.
  • Use the online payment system to pay for the verifications.

If you are a third-party requestor:

  • Go to National Student Clearinghouse.
  • Your organization/company must first register with the Clearinghouse in order to verify education. The Clearinghouse can be reached at (703) 742-4200 if you have any questions.

Are there any verification requests that do not require payment?

All verifications require payment. Beginning fall quarter 2009, the verification fee will no longer be waived for the following verifications:

  • Scholarships
  • Loans
  • Section 8 housing
  • Sibling verification
  • Jury Duty

I need a verification as soon as possible. How long does it take?

  • Rush orders cost $20. Verifications are available immediately after the request is received.
  • Standard processing costs $10, and verification is available the next business day after 2 p.m. You must show a valid photo ID to pick up your verification.
  • Mailed verifications cost $10, and arrive in approximately in 3 business days.
  • Domestic fax service costs $5. International fax service costs $10.
  • We recommend you send a hard copy as well. Fax copies of verifications are not always accepted.
  • Domestic standard FedEx fee is $20, and will arrive by late afternoon/ early evening the next business day if we receive your request by 3:30 pm.
  • International FedEx Fee is $35.

Why does the Registrar's Office verify only certain things, like grades and attendance, but not others such as conduct records or my address?

The Registrar's Office is able to verify only certain aspects of your records that are on file, such as:

  • Enrollment, based on use of WebReg (online registration) and add cards
  • Completed courses, based on grades reported by professors to the Registrar's Office

If you need to provide additional information:

  • Your conduct files are available to you through your academic advisor at your particular college.
  • Self-reported items, such as your address, are not verifiable through the Registrar's Office.

If I make a mistake on my verification order, will I need to pay for a corrected copy?

  • If you make a mistake on your original verification request, you will need to reorder and pay for a second verification.
  • Check your verification request very carefully. Once you've placed the order, it cannot be changed or reproduced.

I graduated yesterday. My job starts tomorrow. Can I order verification of degree today and have it reflect my graduation date?

  • Verifications will not show your graduation until your degree has been conferred.
  • It can take up to 90 days after the conclusion of your last quarter of attendance for your degree to be conferred.
  • Do not order a verification of degree before the degree is conferred, or you'll need to reorder and repay for the verification once that has taken place.
  • You can check to see if your degree has been conferred or grades have been finalized by checking your academic history on TritonLink prior to ordering verification.

How can I prove authenticity of my verification of enrollment forms?

  • All transcripts and verifications are printed on security paper, which prevents unauthorized alterations of data.
  • If photocopied or faxed, the transcript or verification will have “VOID” printed throughout the document.
  • If altered, brown stains will appear to show attempted changes.
  • The verification includes the seal of the University of California and the signature of the UC San Diego Registrar.
