Managing My Personal Details with TSS
Your personal details are what UC San Diego uses to know who you are, how to reach you, and how to handle your records correctly — everything from where your mail goes, to what name appears on your diploma, to who the university calls if there's an emergency.
Keeping this information current means fewer delays with mail, billing, and official documents, and it ensures the university has an accurate picture of who you are.
My Personal Details is where you manage all of this in one place. This guide walks you through each section: Contact Information, Addresses, Related Persons, Lived Name, Social Identity, and Tuition Information.Locating My Personal Details
Log into TSS at sis.ucsd.edu
From the Student Overview Homepage, select My Personal Details

Use the tabs near the top of the page — Addresses, Related Persons, Lived Name, Social Identity, Tuition Information — to move between sections. Your Contact Information appears above the tabs and is always visible.
Contact Information
Your Contact Information includes your Personal Email, Telephone Number, Mobile Number, and University Email. This is how the university and instructors reach you outside of postal mail, so it's worth keeping current — especially your personal email and phone number, since those are most likely to have updates during your time at UC San Diego.
Note: University email is not editable from this screen.
Changing Your Contact Information
From My Personal Details, select Edit Contact Details in the top right corner.
Update any of the following fields as needed by clicking into the field and typing the appropriate information:

Telephone Number (select your country code, then enter the number)

University email is not editable from this screen

Click Save at the bottom right of the screen.
Addresses
UC San Diego keeps several address types on file, and each one serves a different purpose. Knowing how each address is used helps make sure your mail, bills, and refunds go where you expect. See below for a list of the most common address types:

Where mail is sent during the school year. For graduate students, this address is used for mailings year-round. |

Permanent Mailing Address |
Where mail is sent during the summer, or where mail is sent if you don't have a valid Current Mailing Address on file. Diplomas are mailed to this address. |

Billing Address |
The address associated with your billing records. |

Refund Address |
Where refund checks are mailed, if applicable. |
Note: If you don't keep a Current Mailing Address on file, university mail will default to your Permanent Mailing Address instead.
Adding an Address
From My Personal Details, select the Addresses tab.

Select New.

Click the Address Type dropdown and select the applicable address type you want to add by clicking the box next to the address type. Click outside the dropdown menu to close it and move to the next section.

Enter the address information as applicable.
- Street/No: Type the address details into the field
- Street/2: Optional, type in the details if needed
- Postal Code/City: type the postal code and city of the address into the fields
- Country: If an update is needed, click on the search icon in the country field.
Select the appropriate country by clicking in the search bar at the top of the screen and typing the country name. Any applicable search results will be displayed.

Click on the desired country.

Region: This is the state, province, region, etc.
Click on the search icon in the region field.

Applicable regions will automatically populate in the list. Click on the appropriate region.

View the Validity Dates field. Each address includes a Valid From and Valid To date. By default, an address is valid starting the day you enter it and has no end date (12/31/9999), meaning it stays active until you change it yourself.

Note: Changing these dates is optional. You might want to adjust them if you know in advance when an address will start or stop being accurate — for example, a temporary address you'll only use for a set period, or a future move you already have a date for. If you don't have a specific time frame in mind, leave the default dates as they are.
Click Save on the bottom right of the screen.
Updating an Address
From My Personal Details, select the Addresses tab.

Select Edit.

Click on the address you need to change. This opens the Address Detail page.

Type into the fields to update your address as appropriate.

Select Save at the bottom right of the screen.

Any updates are now reflected in the Address section.

Related Persons
Related Persons is where you add contact information for people connected to you — a parent, guardian, spouse, or anyone else you'd like on file. This is also where you designate an emergency contact, so make sure at least one person here is marked accordingly so the university knows who to reach in case of an emergency.
Adding a Related Person / Emergency Contact
From My Personal Details, select the Related Persons tab.

Select New.

Fill out the fields (required fields are indicated by a red asterisk):
Relationship Type (required)
Click the dropdown.

Select the applicable Relationship Type.

First Name: Type the name into this field
Last Name (required): Type the last name into this field
Street, Street 2, Postal Code, City: Type the address details into the fields
Country (required):
Click on the dropdown next to the country field.

Select the appropriate country from the list by clicking on your desired country.

Region: This is the state, province, region, etc.
Click on the dropdown in the region field.

Applicable regions will automatically populate in the list. Click on the appropriate region.

Phone Number: Type the phone number into this field
Email Address: Type the email address into this field
Emergency contact:
If this person should be contacted in the event of an emergency, click the box next to This person is an emergency contact.

Note: If you select a related person as your emergency contact, the phone number and email address fields are required.
Click Save.

Updating a Related Person
From the Related Persons tab, click on Edit next to the applicable related person.

This makes all Related Person fields editable. Update any applicable fields and click Save when complete.

If you want to delete a related person from your list, click the red Delete button.

Lived Name
A Lived Name is a first, middle, and/or last name you regularly use. This may be different from your legal name. Using a Lived Name is optional. If you set one, faculty and staff will address you by it, and it will appear on your student ID card, official transcript, diploma, and provost's congratulatory letter, unless you choose otherwise. Please note that even if you have a Lived Name on file, Legal Name will still be used in places where law or policy require it, such as for generating bills, within TritonPay, on 1098-T documents, on refund checks, and for insurance and financial aid.
If you don't set a Lived Name, your Legal Name is used everywhere — including your ID card, diploma, official transcript, and provost's congratulatory letter.
Note: Legal Name and Lived Name are different from an official name-change process. If your legal name has changed — for example, due to marriage, divorce, or a legal name change through the courts — you'll need to update it through a separate process, since this requires documentation. Review the Changing Your Legal Name in University Records for more information.
Setting / Updating a Lived Name
From My Personal Details, select the Lived Name tab.

Select Edit.

Note: If the box next to Remove Lived Name is checked, this means you do not have an active lived name on file. If you want to activate a lived name, uncheck the box.
Under Lived Name, enter your First Name, Middle Name, Last Name, and Suffix as you'd like them to appear.

If you'd like your Legal Name — instead of your Lived Name — to appear on your diploma, transcript, or provost's congratulatory letter, click the checkboxes next to the applicable category under the Legal Name box to indicate this.

If you no longer want a Lived Name on file, check Remove Lived Name.

Click the green Save button at the top right of the Lived Name section to save any changes.

Note: Changes to your Lived Name can take 24–48 hours to appear across all campus systems. If you delete a lived name from your record, these preferences will be reset to use your legal name.
Social Identity
Social Identity is where you can share information about your pronouns, gender identity, sexual orientation, and gender expression. Sharing this information is optional, and it helps UC San Diego allocate resources, support students, and develop programs as part of the university's commitment to an inclusive campus for LGBTQIA+ students, faculty, and staff.
Notes:
- Pronouns entered here display on class rosters and in your student file. The displayed pronoun options are He/Him, She/Her, They/Them, Ze/Hir, Per/Per, or your name — you can also enter a custom pronoun or multiple sets.
- Social Identity information is part of your education record and is protected the same way the rest of your student file is protected under FERPA. It is not designated as directory information, so it is never made public. Aside from pronouns, which are shared widely, access to Social Identity information on an individual record level is highly restricted and only accessible to university personnel who need access to resolve records issues. For more details about your rights under FERPA, see Notification of Rights Under FERPA.
- You are not required to complete any of these fields, and you can update or clear them at any time. For more information about data retention periods, contact the Office of the Registrar.
Updating Social Identity Info
From My Personal Details, select the Social Identity tab.

Select Edit.

Enter or update any of the following:
Pronouns
Click the dropdown next to the pronouns field and select the applicable pronouns.

If your pronouns are not in the list, select Other Pronouns — then click in the open text field and type in your pronouns.

Gender Identity
Click the dropdown next to the Gender Identity field and select the applicable Gender Identity.

If your Gender Identity is not in the list, select Other Gender Identity — then click in the open text field and type in your pronouns.

Sexual Orientation
Click the dropdown next to the Sexual Orientation field and select the applicable Sexual Orientation.

If your Sexual Orientation is not in the list, select Other Sexual Orientation — then click in the open text field and type it in (up to 200 characters).

Gender Expression
Click the dropdown next to the Gender Expression field and elect the applicable Gender Expression.

If your Gender Expression is not in the list, select Other Gender Expression — then click in the open text field and type it in (up to 200 characters).

Click the green Save button at the top right of the Social Identity section to save any changes.

Note: You are not required to complete any of these fields, and you can update or clear them at any time. For more information about data retention periods, contact the Office of the Registrar.
Tuition Information
The Tuition Information tab is view-only for most fields, and shows information relevant to your tuition and residency status.
View Your Tuition Info
Your Tuition Information screen:
- CA Residency for Tuition Purposes: Your residency status and the date it took effect
- Have questions about your residency status? Contact the Residency Deputy in the Registrar's Office — this guide covers where to view your status, not how residency determinations are made.
- Current Tuition Cohort: Your cohort year, if applicable
- UC Student Association Fee (UCSA) (undergraduate students) or UC Graduate and Professional Council Fee (UCGPC) (graduate students) — an automatic fee, currently $7.00 per year ($3.00 Fall, $2.00 Winter, $2.00 Spring)

To opt out of the UCSA/UCGPC fee:
From My Personal Details, select the Tuition Information tab.

Select Click here to Opt Out

A Save Successful message pops up at the bottom of the screen to indicate you successfully opted out.
